Policies and Procedures

Deposit
A deposit and a signed contract are required to hold your outing date.  The deposit is not an additional charge but will be applied to your final bill.  In the event your function is canceled the deposit is non-refundable.   

Start Formats
Your start format is based on a minimum guarantee of players, should your player count fall below that number, the Director of Golf will work with you to organize a start format that is accommodating to both parties.  If you feel you may have trouble meeting the minimum player number, please check with a Broad Run representative before you sign the agreement for additional options.
 
Guaranteed Guest Count
A guaranteed number of guests must be made five days prior to the event.  If your guaranteed number of guests falls below the required minimum count, you will be charged for that billable count.  If the guest count falls below the stated guaranteed minimum, Broad Run Golfer's Club staff reserves the right to alter the starting format.
 
Event Roster
Tournament contract will provide the golf course staff with a list of names and starting times for each participant in the tournament no later than three days prior to the tournament date.  This lead time will allow us to prepare professional signs to help keep your event organized.
 
Sales Tax
Sales tax is applied to all items (including golf and food & beverage) in accordance with state law.
 
Dress Code
Proper golf attire must be worn at all times.  All players are required to wear shirts with sleeves.  Slacks, shorts, or skirts must be hemmed and in good condition.  No denim allowed on the course.  Broad Run Golfer's Club staff prohibits metal spikes to be worn on the golf course.
 
Additional Golf Carts
Carts will be provided by Broad Run for all paid participants.  Additional carts, if available, may be rented at an additional charge per golf cart.
 
Carry on Food or Beverages
No food or beverages are allowed to be brought on the course without the written consent of the Outing Sales Director or General Manager.  All coolers and its contents will be confiscated.  Broad Run Golfer's Club reserves the right to be the sole food & beverage provider to all patrons.  Our Chef and his team can provide your group with any food and beverage options you request.
 
Donated Products
Donated food and beverage products may not be brought onto the premise or utilized unless agreed upon by the Broad Run Golfer's Club Outing Sales Director and the Outing Chairperson prior to the event.  This may only take place under extenuating circumstances. 
 
Weather Policy
Should severe weather, frost, or other circumstances beyond the control of Broad Run Golfer's Club result in closure of the facility on or during the tournament group’s scheduled day or days of play, the following procedure is agreed to: Nine holes played by all participants constitutes a completed golf tournament.  If the Broad Run General Manger or other authorized course representative closes the golf course before nine holes are completed, the tournament will be rescheduled.  Closure of the facility is at the Broad Run Golfer's Club staff's sole discretion.  It is our intention to protect the golfer's from dangerous situations on the golf course.
 
Speed of Play
The required pace of play on the golf course is a maximum of 15 minutes per hole (i.e. 4 hours & 30 minutes to complete 18 holes).  If your event falls behind this pace, some or all of your groups will be requested to move to the next hole in order to preserve the pace of play.  Broad Run Golfer's Club reserves the right to cut events short that do not adhere to the established pace of play, and remove participants from the golf course at its sole discretion without refund.
 
Hold Harmless
Broad Run Golfer's Club will be held harmless for any and all damages or destruction including theft and/or mysterious disappearance to any and all items owned or leased to your function.
 
Property Damage
The “responsible party” and/or “authorized representative” is accountable for the proper conduct of all event guests and volunteers.  The “responsible party” is liable for any damages to any person or the facility (including golf course or equipment) caused by their guests and will be billed for damages incurred.
 
Tax Exempt Status
Any group with tax exempt status must provide a certificate to Broad Run when the contract is signed and returned.  If a current tax exempt certificate is not received at that time, any and all applicable state and local sales taxes will be assessed and due.
 
Late Payments
Any balance over 10 days will be charged a 5% late fee.  Any balance over 30 days will be turned over to collection
